Job Title: Project Operations Coordinator

Salary Range: $68,250 – $84,000

JOB SUMMARY

This role requires a friendly, self-starter who brings strong levels of high-end customer service, attention to detail, and experience coordinating and managing various tasks with moving parts. This person will craft creative solutions to sometimes unorthodox challenges, wearing multiple hats to get the job done. This role is suited for a person able to exhibit patience, decisive judgment, flexibility, discretion, and a delicate touch. They should be comfortable working in a fast-paced environment independently and as part of a team.

PRIMARY DUTIES / RESPONSIBILITIES

  • Serve as a point person for client communications and requests
  • Bring in the appropriate design members and tradespeople/subcontractors
  • Work with the design team to implement project work
  • Coordinate and oversee the work of tradespeople/subcontractors
  • Troubleshoot and resolve emergencies – sometimes on nights and weekends
  • Maintain a trusted network of highly qualified, detail-oriented tradespeople/subcontractors
  • Coordinate client relocation services including but not limited to furniture resale, scheduling and overseeing
    movers, home set-up before move-in
  • Maintain project home dossier(s)
  • Maintain quarterly and annual project maintenance schedule
  • Project purchasing before construction completion and interior design move-in
  • Coordinate with vendors for quotes, purchasing, tracking, and delivery setup
  • Receipt and inspection of deliveries. Coordination of returns as needed
  • Communication and coordination with tradespeople, subcontractors, and vendors
  • Jump into non-project-related tasks from time to time
  • Assist with Marketing projects as needed, including, but not limited to, events coordination, photoshoots, press
    efforts, and social media

KNOWLEDGE/SKILLS/ABILITIES – REQUIRED

  • Excellent written and verbal communication skills
  • Capable of learning new tasks quickly, prioritizing deliverables, and problem-solving when needed
  • Experience with high-end residential projects and customer service
  • Proficient in G Suite, Adobe Suite, MAC-based computer systems
  • Must be authorized to work in the United States
  • Driver’s license to manage tasks as needed. Reliable personal transportation is required

KNOWLEDGE/SKILLS/ABILITIES – PREFERRED

  • Experience working with subcontractors
  • Experience in a design-related field
  • Studio designer and AutoCAD experience are a plus

Job Title: Landscape Architect | Project Manager

Position Status: Full-Time

Salary Range: $100K-$140K + bonus incentives 

PRIMARY DUTIES/RESPONSIBILITIES

Capable of autonomous implementation of the following:

  • Managing others in the creation of permit sets, outline specifications, schedules, and details
  • Identification, interview, and selection of potential consultants and installers 
  • Firm grasp of hard and softscape materials properties and the ability to independently draw details 
  • Flexibility to toggle between differing scales of jobs and tasks, and keep junior staff productive
  • Establish project schedules and deadlines
  • Lead meetings, set agenda topics, and identify stakeholders 
  • Regular direct communication with clients
  • Host presentation meetings with clients
  • Collaboration in design process and ability to make decisions within a team
  • Sourcing, purchasing, receiving, and quality check of FF&E
  • Periodic updates to Principal in charge as needed
  • Ability to navigate the California Building Code and local municipality zoning ordinances
  • Navigate drawings/submittals through permit offices as projects required
  • Documented history of Construction Administration
  • Experience in proposal procurement, include bringing a contractor on board, participating in walk throughs with potential contractors, collecting bids, reviewing bids with the client, and engaging the chosen contractor

SECONDARY DUTIES / RESPONSIBILITIES

  • One time task of introducing and implementing office operational procedures within the first year including the following:
  • Set up new project graphic standard templates
  • Design necessary Landscape Architecture specific symbols, schedules, and legends
  • Establish hardscape, softscape, and irrigation typical detail library
  • Create California Natives plants list and standard specifications including applicable climate zones, watering needs, soil needs, and exposure needs.
  • Identify long term HR and Operational goals and needs
  • Develop proposal template for Landscape Architectural projects 

KNOWLEDGE/SKILLS/ABILITIES – REQUIRED

  • Minimum of 7 years of work in a Landscape Architecture office
  • Landscape Architecture license required.
  • Robust knowledge of California native species – focusing on pollinators, and habitat creation/preservation
  • Proficiency in the production and oversight of Construction Documentation
  • Advanced skills in AutoCAD, Adobe Creative Suites, and G Suite
  • Expected mastery in hand drawing and graphic communications
  • Open minded and curiosity focused
  • Demonstrates professional and clear communication skills – both written and verbal, to a diverse audience
  • Excellence in time management and prioritization of assigned and assigning tasks
  • Strong sense of self motivation and attention to detail
  • Desire to work in an open and collaborative environment
  • Availability to travel as necessary
